Establishment of an Executive Assistant Support Position
RECOMMENDATION
THAT a new exempt Executive Assistant position be established, subject to job evaluation by the Director of Human Resources, to provide administrative and secretarial support to the General Manager of Corporate Services with funding from the existing Corporate Services budget.

COUNCIL POLICY
Council approves the establishment of on-going permanent positions.
PURPOSE
To obtain Council approval for a dedicated executive assistant position to assist the General Manager of Corporate Services in the day-to-day administrative and secretarial functions.
BACKGROUND
Currently, secretarial support for the General Manager of Corporate Services is provided by a shared resource, for three half-days per week. For the past six months, it has become apparent that, to guide and manage the various business units effectively, there is a need for a full time support position to perform administrative and secretarial functions.
DISCUSSION
The Executive Assistant will assist the General Manager to coordinate activities of the diverse Corporate Services Group, including personnel matters and budget issues and to build a Corporate Services Team, as well as perform secretarial functions.
Funding is provided for by eliminating a vacant position within Corporate Services to ensure there is no additional cost to the City.
CONCLUSION
The creation of a full time executive assistant support position will relieve the General Manager of Corporate Services of day-to-day administrative and secretarial functions. It will also enable the General Manager to concentrate on policy and managerial matters and to build a cohesive Corporate Services Group.
