SUBJECT: September 16th - Take Back the Night

At the September 12th Council meeting, a notice of motion was put forward by Councillor Louis asking that all special event permit fees be waived for the September 16th - Take Back the Night event.

There was a request put forward by Council asking staff to clarify the costs and the implications of waiving all special event permit fees that may apply.

This permit was reviewed by the Fest Committee on September 7th and a letter was forwarded to Vancouver's Rape Relief and Women's Shelter outlining the following conditions:

1. Organizers are responsible for ensuring that the site (including the streets) is appropriate for the event and that the event is carried out in a safe, well controlled manner.

2. That proof of insurance acceptable to the Risk Management Office is provided for the event.

3. Any Policing costs associated with providing traffic control during the event is waived.

4. That an information flyer or notification letter be delivered to all residents and businesses that may be impacted by the temporary street closures. Please forward a copy of the letter/flyer to the Special Events Office.

5. That no signs or posters are attached to the Vancouver Art Gallery and no vehicles park on the Georgia Street plaza at any time.

6. That a person is designated as the on-site event contact for the Police Department. The name and cell phone number should be submitted to Constable Rick Smitas at 717-3078.

7. That left over event garbage or debris be cleaned up immediately.

There were no charges for this event.
